Terms & Conditions

Please note that only the 1st page of the printed version will be given to you on arrival - the full version will have been emailed to you when you got your confirmation through. The terms and conditions are also available to you online through your personal sign on page.

Balance of Account.

From 1st September 2021, this is payable 7 (seven) days before arrival of your pet to our accommodation. We accept cash, Bank transfer to Lloyds 309443 80164362 account name Helen Knutton-Allcroft. The balance of your account to be paid to the Lloyds account above – please try to include the invoice number and the rabbits name and your own name if possible. Any additional fee to be paid on collection.

Boarding Admissions

Please ensure you arrive during either the morning or evening opening hours,

6pm-8pm Monday to Sunday (not Wednesday), plus 10am-11am Saturday (there are occasional times when this may need to be flexible).

We are currently running a Covid safe 15 minute drop off / pick up slot system to ensure that there is no cross over between guests arriving and owners remain safe - please try to keep to you slot - pick up slots are to be arranged on the pick up day as I am aware that travel plans can affect your pick ups and can vary a lot - please make contact to arrange the slot.

All drop offs and pickups will be at the front door for the remaining part of 2021 to ensure the safety of myself and my family's safety and will be reviewed January 2022, this has been reviewed and will continue until further announcements on FB or email are made - thank you for your understandings with this.

Please ensure that you put a label on your pet carrier with your name & your pets name on it.

Pre-Booking Visits - temporarily suspended

We are happy to show you round our facilities and answer your questions at any time during our opening hours - Please ring before you visit to guarantee we have someone available to show you round - this has temporarily been suspended until further notice due to Covid-19

COVID 19

Effective from 1st January 2021 on all new or transferred bookings - The risk of cancellation now has to lie with the customer making the booking. If you cancel your booking you will need to reclaim any fees paid to us through your travel insurance. We are happy to provide the documentation you may need in relation to boarding your pet with us.

Rabbit Vaccinations

For the welfare of all our guests please note that failure to show proof of current vaccinations may require us to refuse to accommodate your pet unless we can get confirmation from your vet. We take copies of vaccinations certificates for our data base. We advise that your rabbit is vaccinated no less than 21 days before start date of your pets stay with us. You should be guided by your vet. If your bunnies come without their full vaccinations it is at your own risk and we cannot be held responsible. We thoroughly advise the Myxomatosis, VHD1 and VHD2 coverage. From 1st April 2019 we will require full vaccination to cover all three - Myxomatosis, VHD1 and VHD2 with a copy of the original vaccination card being taken.

Charging Policy

We charge every night your pet is with us. If your pet is already boarding with us, and you wish to collect your pet earlier than the date originally provided, you are still liable for the full boarding costs. Any additional days or extras will need to be paid for on collection.

Payment

£20 admin/reservation fee is required to secure a holiday hutch booking under £100 (non refundable, but offset against the total cost of the holiday).

£50 admin/reservation fee is required to secure a holiday hutch booking from £100-£200 (non refundable, but offset against the total cost of the holiday).

The Admin Fee can be paid by the link in the conformation email. Three days maximum for the admin fee to be paid – during busy periods this can vary from 3 (three) days to immediate payment due to the number of requests we get for busy periods.

Reservations will be held for 3 (three)days without a booking fee being paid, then the dates will be automatically released. This time could be much less during busy periods.

From 1st April 2022 the balance amount is to be paid 7 (seven) days before arrival. Balance payment to be made in cash or bank transfer (please state invoice number, pet name and your name if you can fit it all in). Balance to be paid no less than 7 (seven) days before arrival of your pet. If you cancel after this a refunded pro-rate if the holiday nights are rebooked by another customer – minus the admin fee.

For Christmas bookings the balance payment will need to be 10 (ten) days prior to arrival.

*** Please Pay the administration fee within 72 HOURS of the booking date either by CASH, BANK TRANSFER, payment link on confirmation email (Square).

Medication

All necessary medication must be supplied with clear instructions on administration. We do not generally administer injections, but please feel free to discuss in more detail.

Collections

Please ensure you collect your pet during the open times. Obviously, sometimes things go wrong and delays can occur; if you are running late please telephone to let us know on 07719791991. Collections after our opening hours will not be allowed.

Cancellations

Any cancellations within 1 week of check-in date will incur full boarding costs, unless we are able to board another pet at short notice. Cancellation fewer than 15 days but more than 6 days prior to the start date of your booking will require 50% payment. If the hutch is filled then your money will be refunded pro rata of days filled minus the admin fee.

Information - Boarding Contract

We require all new customers to complete our boarding contract which asks for details of your pet(s) and yourself including;

•Medical conditions (including previous GI stasis)

• Your full name and address

•Any behaviours or characteristics we need to be aware of

•Your vet’s details

• Emergency contact details other than your own

Whilst in our care we will treat your pets as our own. If there are times when we take a short family holiday (we all need one of those!) then these people we will have coming to look after your pets will be people we trust. We trust these people to look after our own large family of rabbits and guinea pigs and hope that you will feel that because we entrust our OWN fur babies with these people that you will too. We will only let these people have your contact names and number and rabbit details eg vets, dietary needs etc so that they can contact you and you can contact them.

Need for a vet

If your rabbit should require veterinary treatment: we will make every effort to contact you before taken to the vet. Any medical expense will be charged to you or they will need to be paid within 14 days if NKALKA incur the costs. Sadly, small animals can pass away with very little warning and it can be very quick after showing NO signs of illness - this is the nature of prey animals who are masters of disguising illness. In the unlikely event that this should happen in our care, we will contact you immediately to discuss your wishes.

Whilst under our care your pet will be looked after as if they are one of our own, but unfortunately, we cannot be held responsible for any injury, illness, loss or death to any animals whilst on our premises.

Debit and Credit Card payments used to settle veterinary bills with us will incur a 1.75% transaction fee, this is what we are charged by Square to use this service.

•All pets are left entirely at the owner’s risk.

Pet Pregnancy Scanning

NKALKA Pet pregnancy scanning currently covers dogs, cats, rabbits and guinea pigs only. A pet pregnancy scan by NKALKA is only to confirm a pregnancy or not. The scanner may be able to give you an indication of the possible numbers but will not be able to give the pet owner a definitive number due to reabsorption that can occur in all mammals.

Dog/cat - The cat/dog owner will need to give an accurate mating date as possible as giving an inaccurate date could lead to data collected being inaccurate. The best dates for scanning are 30-35 days. Insurance is in place this only cover confirmation of pregnancy or not - not the number of expected kittens/puppies. If your cat/dog scan is found to be not pregnant by seeing a gestation sac there is still a possibility that there may be a singleton that has not been picked up - or the pregnancy is still early on. In this case, NKALKA will offer a rescan approximately 7 days later at my premises or if you wish to have it at your home again then travel must be paid again.

Rabbit - the earliest a gestation can be seen is 11 days, but confirmation of viable pregnancy cannot be given at this time. The fur on rabbit gets thicker during pregnancy so a small window may need to be removed to gain a window to scan through to the skin - this can be saved by you to add to the nest. 18 days onwards is a good indication of pregnancy but not a guarantee due to reabsorption that can still occur. In this case, NKALKA will offer a rescan approximately 7 days later at my premises or if you wish to have it at your home again then travel must be paid again.

Guinea pig - the dates for guinea pigs can vary and accuracy of current length of pregnancy cannot be specified due to the nature of guinea pig seasons being 14-16 days on average. In this case, NKALKA will offer a rescan approximately 7 days later at my premises or if you wish to have it at your home again then travel must be paid again.

The scanner may advise the pet owner to go to the vets for further investigation but cannot diagnose any complications that are seen.

Guinea pig and rabbit pampering

Every effort is made to ensure your pet has a comfortable experience. The nature of the animal being a prey animal will make the rabbit and guineapig a little nervous with the experience. Sometimes rabbits and guinea pigs will wriggle just as their claws are being cut and, occasionally, this may lead to a nail bleeding.

Certain products for guinea pigs will need a patch test - this can be waivered at your own risk and a signature will be required to do this.

There are a few products that can be used on guineapigs that do contain nuts - TAMANU oil or St John's Wort oil which is PHOTOTOXIC - please tell us if you have an allergy as we will not use these on your animals.

Microchipping

NKALKA has been trained to microchip cats, dogs, rabbits, guinea pigs and ferrets.

Microchipping a puppy must be done by law no later that 8 weeks of age with registration to the breeder. it is not recommended to be done before 6 weeks of age but this is a personal choice and not law. Protocol guidelines will be followed for the insertion of a microchip. the new owner must have registered with the microchip provider - NKALKA currently uses SmartTrace and provide the owners email address. It is the responsibility of the owners to register a microchip, but NKALKA can currently (please ask for confirmation of this) transfer the first transfer for free.

GDPR

As part of the new law commencing on Friday 25th May 2018, under the data protection act, it is now necessary for us to inform all our customers at NKALKA Bunny Hotel & Gorgeous Guineapig Pamper Spa about the information we keep about them & their animals, how it is used & stored, & to receive permission for specific information.

We will store your data for as long as necessary to perform our boarding and grooming services. This will be stored for as long as you are a customer of NKALKA Bunny Hotel & Gorgeous Guineapig Pamper Spa

We can remove your data upon request.

We don't sell or share your information with any 3rd parties - we only keep for our boarding and pamper services.

We do photograph your animals for before & after pictures, as well as in the boarding facility itself. These are uploaded to our Facebook page and also our website www.nkalka.co.uk

Your information is secured behind a password-protected login, which is only accessible to approved owner of NKALKA Bunny Hotel & Gorgeous Guineapig Pamper Spa who has been trained in our data handling practices.

Your data is stored using industry standard encryption.

We use Revelation Pets to take your bookings and information - they are GDPR compliant and this information can be found on their website.

By signing our policy, you are agreeing to all the above. We assume that you agree with our terms and conditions when you board, have grooms, scan or microchip your pets with us. There may be changes to these terms and conditions and there will be announcements on our Facebook page to let our customers know that there have been changes to, addition to and removal of existing wording, so it is the pet owners responsibility to check before making a booking.

After 60 days any invoices that have not been paid will be referred to the smalls claims court.
